The American University of the Caribbean School of Medicine (ACU) is seeking a dynamic individual to join thier Admission’s Department. The Admissions Coordinator manages routine and recurring administrative tasks associated with admissions and recruiting of students without direct intervention and guidance. Anticipates recurring and cyclical term activities and takes appropriate action to prepare for subsequent events. Interacts with students through phone and e-mail communications. Assists with various department mailings.
Responsibilities
Accurately enters student contact and recruitment information into student database, updates and maintains prospective student database, and processes student documentation.
Looks up student information in student databases, creates new student file folders, files all student documents appropriately based on student application status, and deletes duplicate applications from student database.
Opens and distributes mail to the appropriate departmental person; sends faxes and distributes incoming faxes to the appropriate person; prepares and sends admissions-related student mailings.
Receives incoming calls and provides information to the caller in a professional manner, refers calls to the appropriate departmental person when necessary; Speaks well and communicates effectively.
Receives routine e-mail and responds effectively in a professional manner using strong writing and grammar skills.
Assists with monitoring Admissions inbox, forwarding e-mails to the appropriate individuals.
Monitors, maintains and orders supplies and materials to meet departmental needs.
Assist in coverage for Receptionist position as needed.
May handle student deposit and application fee payment processing; document all web-based payments; follow up with all students regarding payment status and deadlines.
Participates as an Admissions team member while working diligently and willingly towards the Admission’s goals and objectives.
Performs related duties as assigned.
Qualifications

Bachelor’s degree preferred.
Minimum one year administrative/customer service experience in a professional work environment required.
Knowledgable in all Miscrosoft Office products, student information and recruitment systems, or aptitude to learn.
Strong verbal, organizational, written and professional customer service skills.
Demonstrated accuracy in filing.
Accuracy in typing and data entry into student database systems.
Ability to transfer information received from student documents into student records within student database.
Must be a quick learner with the ability to work at a pace that accommodates peaks and workloads.
Ability to work alone or within a team, and assist admissions staff in various duties.
Shows eagerness to assume new responsibilities.
Ability to travel locally/internationally to campus on occasion to support information seminars as needed.
