Records Specialist- City Secretary Office Full Time

Job Description
Perform administrative and technical duties in the implementation, organization and maintenance of city records under the general direction of the City Secretary.

Manage retention, retrieval and destruction of records in compliance with the Texas State Library and Archives Commission (TSLAC)
Provide support with records organization to efficiently maintain both paper and electronic records within all city departments.
Perform Audit/Inventory of all records within city departments for compliance with TSLAC
Maintain operations of archived records in off-site storage facilities
Imaging of documents into the document management system
Maintain department files
Research and process internal requests for documents
Research, plan, develop, and implement long and short range record management goals
Perform other related duties as needed.
Minimum Qualifications
High School diploma or equivalent.
Minimum typing speed of 35 wpm.
Previous experience in the routine use and operation of standard office equipment

Any combination of education, training, and experience, which provide the requisite knowledge, skills and abilities needed for this position, may be substituted or evaluated at the discretion of the City.

 

Supplemental Information
Knowledge of:
Adobe, Word processing software, Excel
Modern office procedures, methods
Some knowledge of municipal government records, policies, procedures preferred

Skill in:
Computer and database applications used in document/record management programs. Ability to read, analyze and interpret documents and meeting notes. Telephone etiquette, spelling, punctuation and grammar. Performing a variety of duties, often changing from one task to another of a different nature.
Ability to:
Manage multiple projects simultaneously. maintain accurate records, establish and maintain effective working relationship with co-workers, management and city council. Attend training conferences (some travel required). Obtain Notary Public Commission.

Possible heavy lifting, storage boxes up to 35 lbs. Dusty environment in off-site storage facility.
