Overview

Summary of Position Requirements

Administrative support for department/managers. Basic administrative support to Land Development and Homebuilding departments, preparation of business letters, memos, standard operation forms and correspondence via fax, phone, email and courier. Responsible for tracking key programs in the Division as well as coordinating meetings and company events.

Responsibilities

Primary Duties and Responsibilities

Provide general support to Director of Operations and office staff
Responsible for all MLS data entry and update
Handle and screen all incoming/outgoing mail and faxes and incoming calls
Type and proofread letters, memos, reports, and other correspondence
Establish and maintain appropriate documentation and files as needed
Coordinate company meetings and events
Track acquisitions
Maintain Division files
Work with suppliers as necessary to resolve invoicing issues
Prepare and distribute acquisition reports
Assist in coordinating office hurricane contingencies
Work on various special projects as assigned by Director of Operations
Make business travel arrangements for executive level division associates
Compile presentation materials for quarterly operations review meetings
Order flowers, food and other gifts as necessary for the Division
Cross train in other areas as necessary

Qualifications

Education and Experience Requirements

High School Diploma or GED required
Minimum 4 years experience in administration
Minimum 2 years in homebuilding related experience
Excellent written, oral, organizational and math skills
Must possess professional attitude to represent the company in a positive manner
Proficient in Word and Excel
