Commercial Janitorial company and one of the 5000 fastest-growing companies of America is seeking to hire a BILINGUAL (English & Spanish) Administrative ASSISTANT who is interested in a fast-paced entrepreneurial environment.
We seek someone to perform advanced administrative assistant duties who is well organized, able to multi-task, with great organizational skills and the ability to work independently. Big plus if proficient with Quick Books Online and is able to generate reports.
The Administrative (I) fulfills diverse functions, such as receiving the people who appear at the physical facilities or the calls of the different applicants, and carrying out assistance tasks corresponding to human resources, as well. the Administrative Assistant will always be the one with whom the client and/or the internal and external subcontractor have the first contact with, who welcomes and directs them to solve their concerns and needs.
Duties and skills:
Assist with all incoming calls.
Responsible for maintaining our Matrix excel spread sheet up to date with all pertinent information for clients and Subcontractors.
Make sure that all subcontractors are clocking in and out.
Assisting Human Resources with personnel.
Prepare Daily reports carried out during the shift. (Also do monthly reports to register the activities carried out during the month.
Input new subcontractors into quick books and Janitorial Manager.
Handle all Subcontractor requests.
Responsible for daily mail.
Delivery and control of personnel payments
Translate Scopes of Work for each new account.
Report all concerns or complaints to customer care services.
Prepare monthly excel sheet with supplies needed for the subcontractors.
Individuals must be detail-oriented and prior bookkeeping experience is a plus.
Medium or high Microsoft Excel skill needed.
Be able to follow directions and complete goals in a timely manner.
