Office Manager/ Project Administrator (Orlando) Full Time

Coastal Mechanical is one of the largest mechanical contractors in the Southeast and is currently seeking an Office Manager/Project Administrator to work in our Orlando office.
This position will support our Orlando and Tampa offices/projects with general office duties including filing, typing, answering phones, data entry, accepting deliveries and organization. Previous construction experience preferred but not required. Knowledge of construction programs similar to Viewpoint, prolog, etc is a plus.
Duties will include but are not limited to the following:
• Office Manager duties
• Coordinate Warranty Calls/Warranty Packages
• Typing, filing, maintenance of files
• Log, Track, and distribute: RFIs. Submittals, Change orders
• Permit procurement and calling in inspections
• Weekly timesheet input
• Assisting Project Managers
• Auditing of Expense reports and Auto Allowances
• Processing of subcontracts and subcontract change orders
• Updating Contract Profit reports
• Project Documentation/Closeouts/Archiving
• Travel to Orlando Satellite Office and Tampa office monthly to do filing and order supplies (mileage reimbursement)
Requirements:
• A few years’ experience with Microsoft Office is a must
• A construction background is preferred but not required
• Candidate must be willing to follow instructions and procedures created by Coastal.
• Ability to handle high stress situations and manage conflict
• Good attendance
• Ability to work independently with minimal direction.
• Bi-lingual is a PLUS. (Spanish and English)
• Detail oriented, organization skills, ability to multi-task, a can-do attitude and a great work ethic are essential.
