The Receptionist is responsible for answering incoming calls on the main office telephone number; greeting all visitors to the corporate office; distributing incoming mail; keeping current on projects and offices; and assisting the Office Manager with organization of social functions for the team members.
Your job must be accomplished within Transwestern’s quality standards and corporate goals in a manner that helps maximize the efficiency of the group and the value of the assigned properties.
The Receptionist should always be aware that he or she represents the company each time he or she answers a telephone call or greets a visitor in our lobby. This is, in effect, a “public relations” job, and a most important factor is that this person represents the company’s high standards in professional appearance, manner, and attitude.
RESPONSIBILITIES
Requires the ability to hear, speak, write, use telephone equipment in a fast-paced environment, and remain calm during times of heavy phone calls.
Answer incoming calls promptly, take complete messages when necessary; ensure that all messages get to the proper person.
Monitor current project information so as to be able to direct incoming calls properly.
Place outgoing calls, screen calls, give information to callers.
Forward phones to answering service each evening and un-forward each morning.
Requires the ability to convey thoughts and recommendations clearly, verbally, and in writing a fast paced environment.
Greet visitors to the office, create a hospitable environment, and offer visitors something to drink.
Direct visitors to the correct person, contact appropriate party for visitors.
Requires the ability to walk and carry small objects.
Requires the ability to pick up, sort, and date stamp mail.
Distribute incoming mail and interoffice mail on a daily basis in a timely manner.
Prepare overnight deliveries to other TW city offices.
Coordinate the pick-up of outgoing deliveries and ensure that all incoming deliveries get to the proper person and/or proper location in a timely manner.
REQUIREMENTS:
High school diploma or GED equivalent College courses preferred
At least 2 years of experience in a comparable position.
Must have intermediate to advanced proficiencies using Microsoft Word, Excel and Outlook Adobe InDesign (CS5) proficiency preferred
User interpersonal skills to communicate with a wide variety of people in different business capacities in person, over the phone, and in writing;
Read and carry out instructions and provisions of correspondence, and policies and procedures;
Compose and writes replies to correspondence requesting information.
Operate office equipment such as copiers, printers, fax machines, report binding equipment, and postage equipment;
Personal conversations at the receptionist/front desk (with anyone) should be under a couple of minutes.
Requires some lifting (up to 25lb.).
