The Student Records and Services Assistant receives, reviews and addresses a variety of inquiries, to include complaints, requests for information and/or service etc. and follows-up on customer concerns via email, telephone and/or regular mail.

 

CORE JOB FUNCTIONS

 

Receives, addresses and responds to general inquiries, requests for service/support and/or complaints. Researches all inquiries in order to address any issues or concerns. Refers concerns to other service areas/departments for follow up, as needed. Resolves routine and basic problems and communicates solution or requested information to the customer. Verifies that appropriate changes/resolutions have been finalized. Keeps record of customer interactions, recording details of inquiries, complaints, comments, and final resolution in applicable database. Escalates and refers unresolved customer grievances to department leadership for further review, as necessary. Reviews and processes confidential information with discretion. Adheres to University and unit-level policies and procedures and safeguards University assets. Process all documents and files for all undergraduate student records, from the first point of contact through enrollment. This includes ensuring records are appropriately captured, processed, indexed, transferred, and accurately recorded in the University’s student information systems, including Slate, PeopleSoft/CaneLink, and other systems used. Ensures that student records are kept secure and confidential and are accurately recorded in the University’s student information system(s). Responsible for all coding changes related to student records. Understand and communicate important concepts related to records management and utilize a practical approach for ensuring that student records are accurately maintained. Regularly review and manage mismatched records in application staging queues, test score suspense tables, and process change requests from EM functional personnel. Scan and index all documents and files related to undergraduate student records and ensure that checklists are updated in the student information system accordingly. Maintain and update checklists once documents and files are transferred to the student information system Address student and parent questions and concerns related to student applications and records and serve as the liaison for student records to other University departments. Process refunds of application and enrollment fees, as necessary

CORE QUALIFICATIONS

 

Education:

High School diploma or equivalent

 

Experience:

Minimum 1 year of relevant experience

 

Knowledge, Skills and Attitudes:

Ability to communicate effectively in both oral and written form.
Ability to recognize, analyze and solve a variety of problems.
Ability to process and handle confidential information with discretion.
Proficiency in computer software (i.e. Microsoft Office).
