Department Specific Functions

 

This is a temporary position with a targeted start date of January 4, 2021 and end date of May 2021. This position will support the Summer Scholars Program (SSP) within the Division of Continuing and Internal Education (DCIE). Primarily, this position will work remotely however, on-campus assistance may be required.

 

This position will provide support for program office operations. The goal is to ensure incoming communications are responded to promptly; application materials are processed timely and operation/event logistics are coordinated and executed with excellence. The Administrative Assistant will be responsible for quality and prompt correspondence with applicants, students and parents; triaging incoming queries to appropriate personnel; and making outgoing calls as needed supporting program initiatives.

 

A main component of the position is assisting with application processing, moving applicants through the enrollment funnel to include inputting student data from CollegeNet applications into SalesForce; filing and tracking supplemental application documents (transcripts, letters of recommendations); confirming receipt of documents and updating student files accordingly. Additionally, the Administrative Assistant’s responsibilities include assisting with event planning (venue and catering reservations), coordinating and supervising event operations and field trip logistics; and submitting purchase order requests and invoices. While the program is in session, night and weekend work responsibilities may be required. Often the first point of contact stakeholders have with SSP and the University, the Administrative Assistant will be responsible for an exceptional and complete applicant/student customer experience and facilitating the attainment of the program enrollment goal.

 

Primary Responsibilities:

 

Communications:

Front line of incoming communications: answers SSP phone calls and emails from students and parents
Monitors program inboxes and voicemail and responds to queries
Makes outgoing calls to prospective applicants
Document Processing:

Enters applicant data into SalesForce
Tracks and files application documents
Prepares documents for purchase orders and invoice processing
Assists with event planning, logistics and implementation
Advanced knowledge of Microsoft Excel preferred

Some evening and weekend work required

Other duties as needed

 

Education:

High school diploma or equivalent

 

Experience:

Minimum 1 year of relevant experience

 

Knowledge, Skills and Attitudes:

General knowledge of office procedures and operations.
Ability to accurately prepare and maintain records, files, reports and correspondence.
Ability to communicate effectively in both oral and written form.
Ability to maintain effective interpersonal relationships.
Ability to process and handle confidential information with discretion.
Skill in completing assignments accurately and with attention to detail.
Proficiency in computer software (i.e. Microsoft Office).
